Coaching: your clients

See how each client is really doing, only as far as they let you.

What Coaching is

Coaching is the part of the app for coaches. A head coach runs a club: they open it (see Membership and billing), set its look, invite the other coaches and can see every client. A coach is invited by the head coach and sees only their own clients. Clients are adult members who accept your invitation; they decide what you see, and nothing is shared with you until they tick it.

Open Coaching from the account menu (tap your photo), from the clipboard button at the top of a phone, or from the foot of the sidebar on a computer. The menu and the bar change to Clients, Messages, Plans, Insights and, for the head coach, Club. My Wellness takes you back to your own training, and the foot of the sidebar lists the other lenses you can open, so you can go to My Performance or My Program without going back first. If you are also an admin, the gear at the top switches to Admin mode.

The account menu on a phone with Coaching ringed in the group of lenses below the line.
Coaching is in the account menu, below the line, once you coach.

Your clients

Clients lists the people you coach. The head coach sees My clients first, then each coach's group with that coach's seats used. The header shows client seats used out of your allocation, with active clients and pending invitations listed separately; a pending invitation holds a seat until it is accepted, revoked or expires. Filter by All or Slipping (nothing shared in 7 days or more), and look for tags such as Slipping and Ending soon, each in words as well as colour. A number beside a name is unread messages.

Search by any part of a name or email address (the head coach can also search for a coach, which lists their clients). Tap the empty search box to see Recent, the clients you opened lately, kept on that device. Export clients (CSV) downloads your roster.

The Clients area for the head coach of Okafor Strength: client seats 6 of 40, All 5 and Slipping 1 filters, an Invite client button, and a list of clients grouped under each coach with seat counts.
Clients: everyone you coach, grouped by coach, with who needs attention.

Invite a client

Tap + Invite client, enter their email and (as head coach) pick which coach they will train with. They get an email, and a notification if they already use the app, then choose what to share and accept. The link works once and expires in 14 days. The Invites button lists everything waiting, where you can Resend or Revoke an invitation. Coaching is for adults, so someone who has not confirmed they are 18 cannot accept.

The Invite a client sheet: an Email box, a Coached by choice set to Sam Okafor, a line saying they get an email and the link works once for 14 days, and Send invite and Cancel buttons.

A client’s Overview

Tap a client (on a computer, pick them on the left) to open their dashboard. At the top you see who they are, when you started coaching, and exactly what they share. Manage client holds Reassign to another coach and End coaching. A phone switches between Overview, Plan, History, Progress, Habits, Body, Nutrition and Notes with the Client sections menu; a computer shows them as a list beside the page.

Overview opens with Needs you: a missed workout, no log in 7 days or more, a new PR this week, or a program ending within a week, each with one button (Open plan or Send a message). Under it, This week’s plan shows the client’s seven days with their marks; tap a day to open its workout or plan one.

To move to another client without going back to the list, use ‹ name ▾ › beside ← Clients: the arrows open the previous and next client, and the name opens the client picker to search for anyone. You stay on the same section, so you can go through everyone’s Plan in a row.

Pick a client to open their dashboard. It starts on Overview, with what needs you.

Compliance, figures and PRs

Under it, Compliance, last 4 weeks shows the share of planned workouts done, and this week day by day: done, missed, planned or no plan, always in words and shapes, never colour alone. Today and days ahead are never counted as missed. Then come workouts in the last 30 days, volume this week against last, trend weight, the last log and days of food logged, a chart of their best estimated one-rep max on their three most-trained lifts over 12 weeks (Table lists the same numbers) and their latest PRs, where an estimated PR reads as an e1RM rather than a lifted weight.

Anything a client keeps private says Not shared; it is never shown as zero.

Plan

Plan opens with the client's program (its goal, the week they are in and when it ends) and Apply a program, + Add workout and Open in Schedule. Below it are last week, this week and next week, day by day, with the same workouts and editor as the Schedule; tap a day's + to plan it, or Copy to next week to repeat a week. On a phone the weeks are tabs over a list of days. Further down are the routines assigned to the client with the version they have, an Assign routine button, and any program they are on with their place in it (“Day 13 of 28”). Remove takes a routine off the client; their own copy stays with them. See Coaching: schedule, workouts and programs for building them.

History: calendar or activity feed

History shows what the client has logged either as a calendar (the default) or as an activity feed. Use the Calendar / Activity feed switch at the top; your choice is remembered on your account and on every device, for all your clients. In the calendar, step months with the arrows (never before their first workout or past this month); a day they trained is a large button showing how many entries it holds, and days with nothing are plain squares. The feed lists their workouts newest first, a card for each day with sets, marks, PR badges and notes shown right there; more days load as you scroll.

History as a month calendar: tap a day they trained to see what they did, or switch to the activity feed.

What they did on a day

Tap a worked day to open that day's sets, Failure and Belt marks, PR badges and notes. On a phone it fills the screen. A PR that was estimated says so (“PR · Est.”); an actual lifted weight reads as a plain PR. Only what the client shares appears.

Progress and Habits

Progress shows the client's Exercise History KPIs: strength trend, volume load, acute-to-chronic load ratio, PRs, cardio minutes against the weekly 150, pace or distance and mobility days. They measure training, never just logging.

Habits shows when and how much they train: sessions each week, food days and weigh-ins, the busiest weekdays, morning to evening split, their streak in weeks and top exercises, plus this week's load against their usual week.

The Progress section: Exercise History KPIs such as e1RM trend and volume load for the client.
Progress: the same training measures the client sees, over a rolling window.

Body and Nutrition

Body shows the weigh-ins and trend weight the client shared (and measurements or progress photos only if they ticked them; you always see body fat % when a client has Nutrition targets, to set them properly). Nutrition shows weekly calories and macros eaten against their target, with what you recommended.

Body: weigh-ins and trend weight, and measurements and photos only if shared.

Recommend nutrition targets

Tap Recommend targets to set calories and macros (the macros set the calories: 4, 4 and 9 per gram) and add a note. You see the client's BMR workings as they do: their formula, every formula's result, maintenance calories and their latest weigh-in. Your recommendation never applies itself: the client chooses Use these or Keep mine, and only one is open at a time, so a new one replaces it. The app raises a target below 1,200 (women) or 1,500 calories to that minimum on use. The client must have set up Nutrition first. If the client doesn't share nutrition, the tab says Not shared.

Coach notes

Notes are yours: write what you want to remember, pin the important one. Only coaches at your club can read them, and the client never can.

The Notes section: Coach notes, an Add note button, and a pinned note about squat form with Edit and Delete buttons.
Notes: private to the coaches at your club. The client never sees them.

Messages

Messages lists a thread for every client with the last line of each; Unread only narrows it. The same inbox opens from the Messages button on a client's page. Only you and the client read the thread: never the head coach on another coach's client, an acting admin or ChatGPT. A client you reassign starts a new thread with the new coach.

New group message creates a named group with 2–20 of your current clients. Everyone sees the participant names and can reply; their workouts and other personal data are not shared with the group. Group conversations appear for both you and the clients. Leaving or reassignment immediately ends that client’s group access.

Reminders & notifications opens a manager: create a one-time, daily or selected-weekday reminder for clients or a group; choose the time zone, optional end date, quiet hours and Remind me too. Quiet hours defer an occurrence until the window ends. Edit, pause/resume or delete a reminder from its row. Automatic food & workout reminders adjusts the food time, delay after a planned workout and untimed-workout time for one or several clients. Each recipient still controls push and email delivery in Notifications.

Messages: one inbox with a thread for every client.

A thread

Write in the full-width box and tap Send. Attach adds up to three attachments: photos and files of 2 MB or smaller (JPG, PNG, WebP, GIF, PDF, TXT or CSV) and videos of 5 MB or smaller (MP4, MOV or WebM), 6 MB in all. Pictures, videos and voice messages show right in the thread, and a client can play yours in the same way. Record takes a voice message of up to 15 seconds (it stops by itself; Stop ends it sooner and Cancel discards it) and shows it to listen to before you send. You can remove a staged file and retry a failed send without losing it. An attachment can be sent without text. Emojis inserts an emoji at the cursor, and the heart under a message toggles a like. The client is told once per run of unread messages by a notification that never contains the text. Read shows under your message once they open it. New-message alerts reach you as notifications on the web while the page is open and as notifications from the Android app; use Notify me in a thread to allow them. When coaching ends neither side can send, and each can still export the history.

On a computer

On a computer the roster stays on the left while the client's page and its section list open beside it, so you can move between clients without going back. Coach areas are in the sidebar, and you can drag them into the order you work in (Alt and an arrow key moves one from the keyboard); your order is saved on your account for every device.

Common questions

Why does a client's page say Not shared?

The client has not ticked that part under Privacy. It is never shown as zero, and workout figures such as compliance leave the client out rather than counting them as missing.

A client I invited hasn't answered

Open Invites in Clients. An invitation lasts 14 days; Resend sends a new link and Revoke frees the seat. The invitation only shows on the account that uses the email you typed.

Can I coach someone under 18?

No. Coaching is for members 18 and over, and an invitation cannot be accepted until the member has confirmed their age.

Can the head coach read my messages with a client?

No. Only you and the client read the thread — not the head coach, another coach, an app administrator or ChatGPT. If you reassign a client, they start a new thread with the new coach.
